Massachusetts Apostille Service: Documents, Timing & Delivery

Important: an apostille does not guarantee foreign acceptance

A Massachusetts apostille authenticates an eligible public signature, seal or official capacity through the Massachusetts Secretary of the Commonwealth, when the Apostille Convention applies between the jurisdictions involved. It does not establish that every foreign recipient will accept the document regardless of its age, content, translation or preparation. Always confirm receiving-authority instructions before purchasing records or ordering certification.

Choosing the correct state or federal authority

Massachusetts certified vital records, certain court records and eligible Massachusetts notarizations generally follow the Massachusetts state path. FBI-issued records and other qualifying federal documents normally require federal processing. A document issued or notarized in another state may need that state’s competent authority. Boston Notary Service is a private coordination provider, not the government agency that issues apostilles.

Document preparation with a fountain pen and organized paperwork

Massachusetts apostille assistance, clearly planned

Preparing documents for a move, a new job, further study or a business matter abroad can involve several offices. Boston Notary Service brings the practical steps together: reviewing what you have, identifying preparation needs, coordinating the agreed submission and arranging return delivery.

Start with a short request, even if you are not sure which service to choose. Tell us what the recipient asked for and whether your documents are ready, still with a school or attorney, or need to be retrieved. We can then explain the available assistance for your specific packet.

Find the starting point for your document

Use the guide below to describe your request. If several document types are going to the same recipient, list each one; they may need different preparation or issuing authorities.

01 · Birth, marriage & death certificates

Have an official certified record available. If you still need a copy, ask about eligible retrieval and any authorization required. Include the issuing city, town or records office.

02 · Diplomas, transcripts & enrollment letters

Share the school, document type and recipient’s requirements. Ask the registrar about the certification, signature and release procedure before ordering a replacement or arranging pickup. We review school coordination and authorized campus pickup where available.

03 · Divorce decrees & other court records

Identify the court, case record and certification requested. A document from your attorney’s files may differ from the official certified court copy needed for international use. Ask about retrieval options if the required copy is not yet available.

04 · Powers of attorney & affidavits

Obtain the complete document and signing instructions from the attorney or receiving organization. If notarization is required, we can review appointment arrangements. Have the provider resolve document wording and witness requirements before the signing.

05 · Corporate & business documents

Tell us whether you have a certified state filing or a document a company representative must sign. Articles, good-standing certificates, resolutions and commercial paperwork can have different preparation requirements. Include the company’s destination-country instructions and delivery deadline.

06 · FBI reports & other federal records

Federal documents follow a separate route. Include the issuing agency and document title, even when the report is part of a packet with Massachusetts records. We can discuss federal apostille or authentication coordination and how to organize the return.

Not sure which option fits?

Describe the document in your own words. Start with what you have, where it was issued and where it needs to go.

One request. Three clear stages.

01 · Review the documents and destination

Share the issuing authority, number of documents, current location and recipient’s written instructions. Tell us whether you need a certified copy, a school release, notarization or help coordinating more than one issuing jurisdiction.

02 · Confirm the plan and service

We explain the proposed preparation, available handling and quote. Confirm what is included, the document handoff and the anticipated schedule before work begins. Local pickup and appointments are arranged individually.

03 · Coordinate processing and return

We coordinate the agreed submission steps and return arrangements. Choose the delivery destination in advance, including any FedEx or DHL requirements. Government handling, document preparation and carrier transit are separate parts of the schedule.

Apostille or authentication: start with the destination

An apostille confirms the origin of an eligible public document: its signature, the signer’s official capacity and the relevant seal or stamp. It does not approve the document’s contents or replace the receiving institution’s requirements.

The Apostille Convention must apply between the issuing and receiving jurisdictions. Where it does not, authentication and further legalization may be needed. We review the destination and document together, including any federal or embassy steps, before confirming the service.

Keep the recipient’s instructions with your request, especially requirements about translation, document age, original records or separate certified sets. A country name alone may not answer those preparation questions.

Timing that starts with your actual deadline

Tell us when the completed originals must arrive, rather than only when you want processing to begin. A ready certified record, a university document awaiting release and a packet requiring embassy legalization have different schedules.

  • Document readiness: missing records, signatures or school authorization can add preparation time.

  • Processing route: state, federal and embassy work follow different requirements and office schedules.

  • Quantity and logistics: multiple records, separate issuers and local handoffs affect the plan.

  • Delivery: domestic and international carrier transit must be allowed for after processing.

Ask about standard or expedited assistance early. We confirm the available option and estimated timing for your documents; completion and carrier delivery depend on the offices and services involved.

For an NH-issued record, use our New Hampshire apostille preparation and submission service to start the correct state-specific review. Your current address does not change where the record was issued.

Know what your service includes

Your quote should make the work clear. Depending on the request, it may include preparation review, eligible certified-record retrieval, a notary appointment, submission coordination and return shipping. Government charges, record costs, service work and delivery are separate components of the total.

Already have the required records? Tell us. Need help collecting or preparing them? Include that in the request so the proposed scope covers the work you actually need.

Boston coordination. Massachusetts documents. Worldwide destinations.

We help clients in Boston, Cambridge, Somerville, Brookline, Newton, Quincy and nearby communities discuss local pickup and appointment needs. Availability is confirmed for the address and timing requested.

Elsewhere in Massachusetts, out of state or already overseas? Begin online. We can review mail-in arrangements and eligible retrieval or university coordination. Identify the issuing state for every record: your current address does not determine which authority certifies it.

A quick checklist before you send originals

  • List each document, its issuing office and the number of copies needed.

  • Share the destination, recipient’s written instructions and required arrival date.

  • Tell us whether you have originals, official certified copies or scans.

  • Ask about any preparation, retrieval, translation or signing step still outstanding.

  • Confirm the handoff address, service scope and return delivery before mailing.

Keep existing certifications attached. Do not alter an official record or add notarization simply to try to change its issuing-authority route.

Massachusetts apostille questions, answered

Who issues a Massachusetts apostille?

The Massachusetts Secretary of the Commonwealth issues apostilles for eligible Massachusetts documents. Boston Notary Service is a private service that coordinates preparation, submission and return delivery; we do not issue government certifications.

Does every document need to be notarized first?

No. An official certified record and a privately signed statement have different preparation needs. Describe what you have before adding a notarial act. For school documents, follow the registrar’s and recipient’s instructions.

Can I start if I live outside Massachusetts or overseas?

Yes. Begin online and tell us where the documents are now. We can review eligible record retrieval, school coordination and mail-in arrangements, then confirm the document handoff and domestic or international return details.

Can you help if I only have a scan or photocopy?

A scan can help identify the document and the work requested, but it does not automatically replace a required original or official certified copy. Tell us what is available so we can explain the next preparation step before you send anything.

Can an FBI background check receive a Massachusetts apostille?

An FBI Identity History Summary follows the federal process through the U.S. Department of State, rather than the Massachusetts route. List it separately from any state records in the same application, and do not add local notarization to the original FBI report.

What if the destination needs embassy legalization?

Tell us the destination country and provide the recipient’s instructions. If the Apostille Convention does not apply, the document may need authentication and further embassy or consular legalization. We review the required sequence before confirming scope and timing.

Can you help with an urgent deadline?

Ask about available expedited handling and give us the date the completed originals must reach the recipient. We assess document readiness, quantity, the processing route and delivery. Availability and the expected schedule are confirmed for your particular request.

How do I get the cost for my documents?

Send the document types, quantities, issuing authorities, destination and deadline through the request form. We confirm the proposed service and quote, including any agreed retrieval, notarization, processing and shipping, before you authorize the work.

Let’s get your documents moving.

Share your document type, destination country and deadline. We’ll help you identify the next step and confirm the service for your request.

Official guidance & related resources

Boston Notary Service provides document preparation and coordination assistance, not legal advice. Government authorities issue apostilles and authentications; the receiving institution decides whether a document meets its requirements.

Choose the service for your documents

Massachusetts government fee and office handling

The Secretary of the Commonwealth lists a $6 government fee per document. At the Boston counter, up to three documents can be handled per customer; larger requests have different pickup arrangements. The state’s mailed-request estimate is two to three weeks. These government details are separate from our service quote, preparation and delivery time. Check current office instructions before planning a self-submission.

Original, certified copy or notarized document?

For birth, marriage and death records, use the official certified copy from the appropriate custodian. Court and corporate requests may require certified records from their issuing offices. University records need the school’s preparation and release process. Privately signed documents may need notarization; an original federal record should not be notarized as a routine preparation step.

Government fees and your service quote are different

Ask us to itemize the work: document review, eligible retrieval, notary appointments, school coordination, state or federal submission and return delivery. A government certification fee alone does not cover those services. Send the number of documents and exact arrival deadline for a useful quote.

What if the records were issued in several states?

List each issuing state, school or federal agency. Your current Massachusetts address does not move an out-of-state record into the Massachusetts route. We can review mixed packets and explain the appropriate preparation and coordination before you proceed.
