Birth Certificate Apostille for Visa Applications: A Step-by-Step Guide

By: Boston Notary Service | Massachusetts Apostille Experts

If you’re applying for a visa—whether it’s for marriage, residency, work, or dual citizenship—your birth certificate is one of the most important documents you’ll need to submit. But before you can use it overseas, many countries require that it be apostilled or authenticated.

At Boston Notary Service, we help clients throughout Massachusetts prepare, notarize, and apostille their birth certificates for immigration use. In this guide, we’ll explain why apostilles are needed, how the process works, and what to expect based on your destination country.

An apostille certifies the authenticity of your official document so that foreign governments will accept it. Think of it as a seal of approval that your birth certificate is valid and issued by the appropriate U.S. authority.

This is especially important for immigration cases such as:

  • Spousal and fiancé visas (K-1)

  • Student visas

  • Residency and work permits

  • Dual citizenship applications

  • Family reunification or child custody abroad

Without an apostille (or consular legalization for non-Hague countries), your visa application can be rejected or delayed.

Hague Apostille Convention Countries: You need an apostille.

Examples:

  • Spain

  • Italy

  • France

  • Mexico

  • Colombia

  • Germany

  • Brazil

  • South Korea

🏛️ Non-Hague Convention Countries: You need consular legalization instead.

Examples:

  • China

  • UAE

  • Qatar

  • Egypt

  • Vietnam

  • Saudi Arabia

Boston Notary Service assists with apostilles and will guide you when consular legalization is required.

Step 1: Get a Certified Copy of Your Birth Certificate

You must use a long-form certified copy issued by:

  • Massachusetts Registry of Vital Records and Statistics, or

  • Your local city/town clerk's office

✅ Pro tip: Ensure it includes a raised seal or official stamp and is signed by a Registrar.

Step 2: Submit for Apostille at the Secretary of the Commonwealth

Massachusetts apostilles are handled by the Secretary of the Commonwealth. Boston Notary Service will:

  • Review your document

  • Submit it on your behalf

  • Return it with the apostille certificate attached

📍We offer in-person and mail-in apostille services across Massachusetts, including:

  • Boston (Seaport, Back Bay, South End)

  • Cambridge

  • Brookline

  • Somerville

  • Quincy

Step 3: Certified Translation (If Required)

If your destination country requires translations, we can arrange certified translations into:

  • Spanish, Italian, French

  • Portuguese, Arabic, Korean

  • And many other languages

We can also notarize your translated document if needed.

Step 4: Submit to Immigration Authorities

Once apostilled and translated, submit your birth certificate to:

  • Foreign consulates

  • Immigration attorneys

  • Ministries abroad

  • Government agencies

👶 Dual Citizenship (Italy) A Boston client pursuing Italian citizenship jure sanguinis needed a certified copy of their Massachusetts birth certificate apostilled and translated. We delivered everything in 3 days to meet their consulate deadline.

💍 Marriage Visa (Spain) A Cambridge resident applying for a spousal visa to Spain received same-day apostille service, allowing prompt submission to their attorney abroad.

At Boston Notary Service, we only apostille Massachusetts-issued birth certificates. If your document was issued in another state such as:

  • New York

  • New Jersey

  • California

  • Texas

  • Florida

…you must go through the Secretary of State’s office in that state. We do not apostille out-of-state documents, but we’re happy to guide you or refer you to a trusted provider.
